How do I know you received my emailed / faxed documents?

Here at VVTI we occasionally receive faxes that are unreadable or blank as well as some that are cut-off in transit.  For this very reason, any fax we receive is reviewed for clarity and then uploaded into your student record.  Your AppTrac will be updated within 7-10 business days.

A few tips for ensuring successful receipt of your documents to VVTI:

1.  Start with clean documents. 
Faxing documents usually results in a poorer copy of the original, so a previously poor copy can easily become unreadable in transit.  It is sometimes helpful to copy a black and white image into grayscale or color before faxing.  If you are having difficulties with this, please contact our Admissions department as there are many options available for accomplishing this step.

2.  Include a cover page.
Nothing fancy is needed, just a sheet that states name, email address, phone number, and what you are sending.  Handwritten or typed, either is fine.  This is extremely helpful in case your fax did not complete so we know who the fax came from and can notify you that it was interrupted.

3.  Preparation and follow-up.
Most of us scan documents in more than we fax them so almost by habit we tend to place the documents face down when faxing.  Unfortunately, most fax machines want us to place them face up.  The result - here at VVTI we receive the backs of your documents, or in essence, 3-5 pages of blank white paper not knowing who they came from and you not knowing they were not received.  For follow-up to any document you send to us, keep an eye on your email and AppTrac. 

4.  Keep your contact information updated.
If at any time your email address or phone number changes be sure to log into AppTrac and update your student record right away.  Any time we try to contact you we will be using the information we have on record for you.  If any of this is incorrect, it makes it extremely difficult to establish a good stream of communication.

If you encounter any problems submitting your documentation via fax please remember you can always scan your documents in high-quality and email them to the admissions staff.  Please do NOT mail documents.  All documents must be submitted via fax or email.  If your personal fax machine is not functioning properly and/or you do not have a scanner, you can go to many commercial places to send a fax with minimal charges.
